Events Coordinator

We are seeking a highly organized and detail-oriented Events Coordinator to join our team. This individual will play a crucial role in supporting our office by ensuring that all Chamber events and programs are appropriately planned, promoted, and executed. The successful candidate will be responsible for managing daily tasks, maintaining accurate records, and providing exceptional customer service.
Responsibilities:
- Maintain the Chamber’s calendar of events including both one-off events and those which repeat weekly, monthly, or annually.
- Track and carry out tasks necessary to execute successful events and programs that meet the stated goals.
- Negotiate venue contracts, arrange food and beverage, plan and execute décor, and coordinate audio/visual equipment and other necessities for each event.
- Set up and monitor registration site for each event.
- Support Chamber events and programs as on-site staff.
- Collaborate with the Communications Coordinator to ensure that each event is properly promoted, and sponsorship benefits are delivered.
- Collaborate with the team on the development, production, and distribution of marketing materials for events and programs across all communication platforms utilized by the Chamber.
- Assist with creating event budgets and meeting budgeted revenue goals.
- Collaborate with Administrative Assistant to ensure appropriate processing and tracking of event related income and expenses.
- Organize and maintain inventories of event-related supplies in office and offsite storage unit.
- Develop relationships with business and community partners to secure sponsorships, donations, and door prizes.
- Recruit and direct volunteers when necessary.
- Provide recommendations during annual budget development process to meet event needs.
Qualifications:
- High school diploma or equivalent required.
- Bachelor’s degree in hospitality, business, or equivalent preferred.
- Prior experience working in a fast-paced office preferred.
- Excellent communication and organizational skills.
- Ability to maintain confidentiality and discretion in handling membership information.
- Strong attention to detail and ability to proofread.
- Experience with event planning is a plus.This position will require the candidate to manage their time efficiently to produce results on a strict weekly schedule. The ability to establish and maintain strong working relationships with internal and external customers, co-workers, and vendors is essential.
