    Description
    JOB SUMMARY:
    Escrow Assistant provides support to the Escrow Department; assists with administrative duties related to escrow closing.
     
    ESSENTIAL FUNCTIONS: 
    • Assists Escrow Officer in processing real estate transactions.
    • Opens orders.
    • Reviews and interprets earnest money agreements.
    • Calls for payoffs and items needed to clear title.
    • Prepares CPLs, wire instructions and and estimated fees.
    • Processes and organizes  checks for distribution
    • Receives customer payments.
    • Assists with deliveries and pick ups.
    • Schedules closing appointments with buyers, sellers, agents.
    • Determines items necessary to complete transactions and communicates to parties, agents, sender and Escrow Officer.
    • Assistants will cover Reception for lunches, PTO and emergency back up
    • Takes complete, legible and accurate phone messages
    • Communicates with typed and professional email, faxes and letters
    • Notarizes documents and fills in for courtesy closings or emergency signatures
    • Attends required meetings and educational opportunities
    • Timely completes and delivers closing packages with cover letter and appropriate copies
    • Monitors receipt of policies with closing date system
    • Mails original documents and conformed copies to buyers with cover letter if required
    • Receipts in earnest money deposits
    • Sends agent status letters
    • Adheres to company policy and guidelines.
    • Always maintains confidentiality. 
    • Work as a "team-player" with co-workers in a respectful and supportive manner. 
    • Seek and participate in development and training opportunities.
    • Work in a constant state of alertness and in a safe manner.
    • Perform other duties as assigned.
     
    SUPERVISORY FUNCTIONS:
    This position has no supervisory responsibilities. 
    Requirements
     KNOWLEDGE, SKILLS & ABILITIES:
    • Ability to obtain Notary public with one month of employment. 
    • Ability to obtain State Title License within six months of employment. 
    • Knowledge of closing disclosure and settlement statement, documentation preparation, file disbursement, post-closing follow-up and customer service.
    • Knowledge of real estate documents and expertise in ordering documents through an attorney on owner-finance transactions. 
    • Confidentiality of the highest level is required for this position and examples of exemplifying this attribute is a must.
    • Ability to operate standard business computers with advanced knowledge of related business applications such as Microsoft Office Suite.
    • Skill in organizing resources, establishing priorities, meeting deadlines and general time management.
    • Ability to prepare accurate, timely, effective complete and easily understood written communications.
    • Strong self-motivation and work ethic.
    • Ability to build effective working relationships with customers and organizations; exceptional follow-up skills.
    • Ability to multitask and work productively under pressure.
    • Ability to actively listen and provide high quality customer service.
    • Willingness to participate in marketing efforts and attend industry/promotional events. 
     
    QUALIFICATIONS:
    • High School diploma
    • Minimum of one (1) year experience as an escrow assistant or a minimum of one years’ experience in a related real estate, banking, or title field. 
    • Customer service experience, knowledge of real estate transactions and lending a plus. 
    • Strong understanding of title industry and title company customers. 
    • Ability to pass a background screening.
     
    WORKING ENVIRONMENT:
    The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Fidelity Title Agency has an office environment requiring a high degree of efficient and effective performance. At times, there may be a need to attend industry functions.
