The Office of Admissions is hiring an Admissions Clerk! This position is the primary point of contact for students, the public, and internal stakeholders to establish positive college relationships. The Office of Admissions is a fast paced office that welcomes a wide variety of students, staff, faculty as well as their families to the University of Alaska Fairbanks. Our office is dynamic, fun and collaborative. The Admissions Clerk is a core part of our team that functions as the initial point of contact to UAF for hundreds of individuals every month. The responsibilities of this position include customer service, administrative support and application processing.
Administrative support: Provide administrative support to the office of admissions. Receive and process payments from students in-person or over the phone. Make follow-up phone calls to receive payment on faxed applications. Provide support for Inside Out campus preview day, the Tanana Valley Fair and other events as assigned. Assist with event logistics and planning. Plan, coordinate and execute arrangements as directed for recruitment events on-campus, including catering, room reservations, administrative needs, audio visual needs, etc.
Application processing support: Assist Admissions Coordinators with application processing by uploading transcripts, test scores, and supplemental documents. May also assist as needed with application processing and projects. Use Banner, OnBase and Salesforce software to manage flow, documentation, and correspondence. Apply problem solving research skills to resolve admissions issues. Data entry in Banner and Salesforce as required. Track prospective student inquiries in Salesforce and pull reports.
Customer service: This position will serve as a primary point of contact for students, the public, and internal stakeholders to establish positive college relationships. Serve with an enthusiastic, courteous, and professional manner. Help students with a wide variety of Admissions and University related questions. Receive and accurately process or re-route Admissions concerns and requests. Provide guidance and assistance for admissions questions — ranging from recruitment, application processing to communication. Answer questions and direct students to appropriate staff/departments. Reduce student-run around through point of contact decision making authority and assisting with general inquiries. Assist with other departmental communication. Telephone/In-person customer service: This position serves as a primary point of contact for a high volume of phone calls and walk-ins each day. Determine the most appropriate course of action based on the client’s needs. This position requires a broad knowledge of UAF, with more in-depth knowledge of Admissions recruitment, processing and communication. Log correspondence in Salesforce. Ensure FERPA compliance on all communication regarding student information. Email and Chat: Triage Admissions email account. Serve as the first line response for online chat software. Answer, process, forward requests as necessary. Log all interactions in Salesforce.
Knowledge of customer service best practices and procedures. Ability to prepare various correspondence and effectively provide verbal and written communication to prospective students, community members, staff, faculty and administrators. Analytical research and problem solving skills.
One-two years’ experience providing professional level customer service is required for this position. Experience should have prepared candidates to provide excellent customer service, make sound judgment calls, analyze and solve problems, and deal with large volumes of inquiries.
REQUIRED EDUCATION OR TRAINING:
One year of education at a university or community college OR an equivalent combination of training and experience.
